Frequently Asked Questions for Abigayle Ray Photography


STYLE OF PHOTOGRAPHY AND GENERAL INFORMATION


HOW DO YOU CLASSIFY YOUR STYLE OF PHOTOGRAPHY?

The photography at Abigayle Ray Photography is a hybrid. We believe that it is very important to capture classic formal groups. Many families turn these photographs into wall hangings that are viewed and cherished for years to come. In this sense, we are very Traditional. We also believe in putting a creative "twist" on the classic groups. This is especially apparent with pictures of the wedding party and friend/buddy groups. These are usually looked at as the "Fun" shots, since we are generally laughing and having a good time as a group. Then there are our creative shots, the ones that tend to make us proudest, they show themselves in our shots of the bride and groom alone, or as a couple. Many say these are our Artistic images. Lastly, there is a healthy dash of candid pictures, usually at the reception (although there are examples peppered throughout the day). The reaction we get most often to these pictures is a grin and the question, "When did you take that?" This is the Photo-journalistic side of our personalities. Our style would best be described as Fun, Traditionally Artistic, with a Photo-journalistic Flair. We feel that wedding photography is lacking without each of these elements.

WHY SHOULD WE HIRE A PROFESSIONAL PHOTOGRAPHER?

A professional photographer is your best chance of getting both the style and caliber of pictures that will become family heirlooms as the years go by. Through the course of a year, your photographer can be involved in as many as 100 or more weddings, which gives him or her a very good idea of what will (or can) happen at your wedding, this translates into less unpleasant surprises for you and your family. While many amateur photographers take wonderful pictures, a professional photographer is likely to be more consistent in his photographic skills, giving you more pictures of finer quality. Many family members seem to respond better to directions given by a professional photographer than they do to a friend or family member. For many couples, after their first anniversary, all that will remain of their wedding day is a boxed wedding dress and their wedding album, with all the time, effort, and planning that is put into a wedding, your photography is not a place cut corners.


WEDDING PHOTOGRAPHY GENERAL INFORMATION


HOW MANY PHOTOGRAPHERS WILL BE AT OUR WEDDING?

It is our practice at Abigayle Ray Photography to send out one photographer and at least one assistant to every wedding we cover. This allows us to have two, appropriately attired, people taking care of your photographic needs. Generally, both people are qualified photographers, but, it is our ardent belief that one person be responsible for your wedding images.

WILL THERE BE ANY POSED PHOTOGRAPHS?

Yes, these are important for family historical purposes. The five important group photos for most weddings are:

· bride and groom
· bride and groom with wedding party
· bride and groom with parents
· bride and groom with bride’s immediate family (include any siblings and grandparents
· bride and groom with groom’s immediate family (include any siblings and grandparents)

The above five groups can usually be done in about 30 to 45 minutes depending on the size of the wedding party and location; however, I do recommend spending extra time on the bride and groom portraits. I would be glad to photograph as many groups as you need. For scheduling, I estimate that each group will take about 5 minutes (depending on the size of the group). Please make everyone aware of the scheduled time for group photos, and send me a list of any people, groups or occurrences specifically photographed at least one week before the wedding. My photographic style is non-posed, journalistic coverage of events in real time, so long lists or numerous requests for posed photographs do reduce my ability to find and capture naturally occurring moments. For example, a list of 30 posed photos could take 90 minutes or more. If you plan to do more than the five above, I recommend that you appoint someone to help gather people for the group photos. Give that person your posed photo list and ask them to help gather people for each photo.

WILL YOU PHOTOGRAPH EVERY PERSON AT OUR WEDDING?

We don’t photograph every person in attendance, but please feel free to ask for photos of specific people and groups during the reception.Will you photograph each table?We make candid photographs of many guests interacting with the bride and groom. Posed table shots can be done if requested, but please keep in mind that many guests are only seated when they are eating or listening to a speech. Guests move around to mingle; they get up to dance or go to the bar, so groups are often incomplete. Photographing tables often involves asking people on one side of the table to get up and stand behind people on the other side of the table. If posed table shots are requested, I recommend that the bride and groom participate in each group photo as guests will readily gather for a portrait with the bride and groom. 

FREE ENGAGEMENT SESSION WITH THE PURCHASE OF A WEDDING PACKAGE:

All Clients that purchase a Wedding Package from Abigayle Ray Photography, with the exception of the "Simplicity" Package will also receive a free Engagement Session. The Engagement Session will be up to one hour in length, allows unlimited outfit changes during the session, and will include approximately 30 High Resolution, Fully Edited Images. If Client would like a DVD of this Session there is an additional charge of $35.  

In order to receive your Free Engagement Session, your Wedding Package that you have chosen needs to be at least 50% paid for prior to receiving your Free Engagement Session.


PORTRAIT SESSION INFORMATION


WHAT CAN WE EXPECT?

Prior to your session you'll receive an email full of helpful tips, do's/dont's and faq's. During your session, you can expect to relax, have fun and be yourself. Sure, we may set up the shots but, we want you to shine through! If you have certain shots in mind, please tell us. We want to give you the best photography experience possible.

WHAT SHOULD WE WEAR?

We get asked this a lot. It definitely depends on personal preference but, we can give you a bit of our opinion. Kids in funky and fun colors and clothing photographs really well. Again, let their personality shine through. Vibrant colors pop and allow for natural eye color to really jump off the printed picture. Mix and match fabrics and patterns to give a variety of colors and textures and create a fun and interesting look. Avoid logos or large lettering that is distracting. Fun hats and jewelry are always a great choice. For families, coordinate but, you don't have to necessarily match completely. Let each family member's personality be seen. A popular choice is all white or black shirts with denim. This works really well but, don't get hung up on matching each article of clothing. Add some fun accessories when going with the basic colors. For Seniors, bring several of your favorite outfits and don't forget your personal items that define you and your style!

WHERE SHOULD WE HAVE OUR SESSION?

Again, it's up to you. We shoot on-location sessions in the Elmira, Horseheads, Corning, Bath, Watkins Glen, Montour Falls, Waverly, Nichols, Owego, Sayre, Athens, Towanda, Wysox, Wyalusing, Rome, Troy, Canton, Mansfield, Wellsboro areas with no travel fee. The travel fee for outside of that area depends on where the session is and the type of session. We can shoot at your house, the local park, a special spot to you or any of our favorite locations. If you don't have something specific in mind, let us know and we'll figure out together where would be perfect for your session.

WHEN SHOULD WE SCHEDULE OUR SESSION?

If you have little ones in your session, schedule around them. You'll want to schedule when they'll be the happiest. Feel free to bring snacks or entertainment for them and don't stress if they get fussy. We are parents and fully understand! For newborn sessions, it's important to photograph within the first 10 days. After that time, the newborn poses get harder to achieve. **For all children** We ask that you not schedule shots on the same day as photo sessions and please allow us to reschedule if your little one isn't feeling well. For maternity sessions, the best time to schedule is during the 31st to 36th week.


AVAILABILITY AND PRICES


WHAT ARE YOUR RATES AND ARE YOU AVAILABLE FOR THE DATE I WOULD LIKE?

Please see the Package and Pricing section on the website for current up to date pricing. Please be advised that our prices are subject to change at anytime (once you have booked your date your price is locked in at the rate published at that time). You can also contact us by email or phone if there is something that you want but don't see listed, we are willing to work with you to accommodate your budget! You may use the web site’s Contact form or send us an email.

HOW DO WE RESERVE THE DATE WE WOULD LIKE?

· For Weddings (except Engagement Sessions), Maternity and Newborn Sessions: Your date is reserved once we receive your signed contract and a retainer for 30% of the contract total.

· For all other Sessions including Portraits, Senior and Student Portraits, Boudoir and Engagement Sessions: Your date is reserved once we receive your signed contract and full payment of the contract total unless otherwise stated.

· Please be advised: Dates are booked on a first come, first served basis. Dates are not held pending a scheduled meeting, after a meeting, or a phone call/email stating you want a specific date. Your date is booked/reserved only after your retainer (or full session such as portraits has been paid for in full), until then, other clients may book the date that you wish to have if they submit their contract and retainer/payment in the meantime.

IS THERE AN EXTRA CHARGE FOR GOING OVER THE SESSION TIME?

Yes, all sessions have a time limit on them, please see the Pricing Section of our website for details on all of our sessions we offer including the amount of time per session.

For all Portrait Sessions including Engagement Sessions: We charge a flat rate of $65.00 per hour over the allotted time of Session.

For all Wedding Sessions except Engagement Sessions: We charge a flat rate of $175.00 per hour over the allotted time of Session.

SALES TAX:

The State of New York requires that I collect and remit sales tax on the entire coverage fee.  Sales tax applies even if the event is photographed in another State. 

Please be aware that 8% sales tax will be added to your session price unless otherwise noted. We will return a fully signed copy of the contract for your records.

​​DO YOU OFFER PAYMENT ARRANGEMENTS?

Yes we do offer payment arrangements! We understand that the economy is tough now and money is tight for everyone. Payment Arrangements will be for all sessions we offer except mini sessions and weddings. For Weddings we already offer 30% down payment and remainder due 14 days prior to your Wedding. We are willing to do payment arrangements with the following conditions:  

· We will require 50% of session cost as down payment/retainer to hold your date/time that you would like.

· The remainder of your session balance is due within 30 days of initial payment and/or within 14 days of your session, whichever is soonest (unless otherwise noted in your contract)

· As with all sessions, there will be no refund of initial payment/retainer if you do not pay the balance or decide to not have your session. This is due to us reserving the date/time for you and turning away other potential clients for that same date/time and thus causing a loss of income for us. 

HOW DO WE MAKE OUR PAYMENT?

The retainer or session fees may be paid by cash, USPS money order (only), and credit/debit card (Visa, MasterCard, Discover and American Express) only. We do not accept any checks (personal or business) for any payments of our services.

IS THERE A TRAVEL FEE?

For locations more than 50 miles from Elmira, NY 14903 (except for mini sessions where the limit is 20 miles), a travel fee is added for the entire round trip travel time, please contact us for further details and additional cost. Time and distance are calculated using Google Maps. An additional travel fee is added for assignments requiring air travel, hotel accommodation or auto rental — please inquire for details.

MINI SESSIONS:

We do not offer Mini Sessions on a regular basis, usually they are for specials such as Fall, Christmas/Holidays, Valentines Day, Easter. There are occasions when we may offer a special that also includes a mini session or even just offer it as a package by itself.  

When offered, a Mini Session will consist of a 15 minute session with approximately 10 high resolution, fully edited photographs. If a DVD of the session is requested, there will be an additional $35 charge in addition to the session price to cover processing cost and mailing.  Editing/turn around time for a Mini Session will be the same as any other Portrait Session (please see below for time tables).

CLIENT REFERRAL FREE SESSIONS:

A Client Referral Free Session will consist of up to a one hour session with approximately 35 high resolution, fully edited photographs available on Digital Download only.  A DVD of the session is available for an additional $35 charge to cover processing cost and mailing.  Editing/turn around time for a Client Referral Free Session will be the same as any other Portrait Session (please see below for time tables).

STUDIO'S STANDARD PRICE LIST:

The charges and prices are based on Abigayle Ray Photography's Current Standard Price List. This price list is adjusted periodically and future orders shall be charged at the prices in effect at the time when the order is placed.  If you reserve and pay for a Session and then we change the Pricing, what's included in the Package, or Both, you will receive the Session you paid for originally and NOT the new Package or Pricing.


PRESENTATION OF PHOTOGRAPHS


WHEN WILL WE RECEIVE OUR PHOTOGRAPHS FROM OUR SESSION?

· All Sessions except Weddings: All Portrait Clients (this includes: Portraits, Engagement Sessions, Senior Portraits, Maternity and Newborn Session and Boudoir Sessions) will receive their session no later than thirty (30) business days after completion of assignment unless otherwise agreed to in writing by both Client and Studio.

· Wedding Session Clients: All Wedding Session Clients will receive their finished session no later than sixty (60) business days after completion of assignment unless otherwise agreed to in writing by both Client and Studio.

DELIVERY OF FINISHED PRODUCT:

All finished products will be placed on a CD/DVD or a USB Flash Drive (available at an additional cost) if that is the method selected by the Client.  If Client is ordering Professional Prints then the link and password to their proofing and ordering gallery will be provided to the Client when the Session is finished being edited.  CD/DVD Clients will receive their finished session either by in person delivery/meeting with Client at a mutual location or via US Postal Service Mail (Priority Mail with a tracking number). Any other shipping method that the Client prefers needs to be discussed with the Studio prior to the session and approved. Clients who order Professional Prints will have their orders shipped directly to an address of their choosing unless otherwise stated.

WEBSITE/INTERNET HOSTING OF CLIENT SESSIONS:

Client's Sessions will be placed on our website (http://www.abigaylerayphotography.com) under the year of the session (IE: 2013 client session's) and then scroll down from there to find your session (IE: John Doe Family Portrait Session 1-1-13). On our website there will be a select few photographs from your session displayed (public view).

GALLERY PASSWORD:

The Gallery on the photo hosting website will be password protected and the Client will be given the password and the Client will also have the opportunity to change the password (you must notify the Studio if you want the password changed as we have to do that on our end).

LENGTH OF TIME TO DISPLAY SESSION ON WEBSITE/INTERNET:

All Client's who receive a DVD or Digital Download of their Session will have their photographs displayed on our website for a duration of Thirty (30) days from the date Client was notified that the Session has been uploaded to our website, after that time the Studio can choose to remove the Session from any website at anytime without notice to the Client.If you would like the Gallery up longer than the 30 days, it can be extended for an additional 30 days at a cost of $25.00 per 30 day period.

REMOVAL OF CLIENT PASSWORD:

After Thirty (30) days the studio can remove any password from any session (with the exception of Boudoir Sessions which will always remain password protected due to the nature of the session and Client privacy) so that the Session would become public. This is so that the Studio can show its work to other prospective Clients (use as a Portfolio). If Client does not agree to having their Session made public then they must contact the Studio by any means possible to notify the Studio of their wishes. It will then be up to the Studio if we continue the password protection. If the Studio does not wish to keep the password after notification the Client will be advised that the Studio will remove the Session in its entirety from the website/internet.

ARTISTIC IMAGE SELECTION:

Abigayle Ray Photography will capture many images during the session. After the session, the photographer exclusively puts each image through a careful selection process. You will see only the images in an online gallery that meet the high standards of the photographer. Images captured of eyes closed, people talking, unflattering poses and duplicate images are removed permanently after Abigayle Ray Photography completes this selection process. The selection process is done at the sole discretion of the photographer and part of the custom portrait process.

A few images will be presented in black and white. These are produced at the photographer’s discretion. If you would like additional images presented in black and white, there is an additional fee.


COPYRIGHT/WATERMARK


Copyright for all images is the sole property of Abigayle Ray Photography and protected by the Federal Copyright Law (Title 17 of the U.S. Code). It is ILLEGAL to copy, scan, print or reproduce these images in any way without written permission from the photographer. This includes scanning or downloading images for the purposes of emailing or printing them at home. Cropping a "screen shot" of images which is then used in cards, announcements, collages, or any other use are a direct violation of your agreement. Doing so may result in fines up to $150,000. Only those clients who purchase their digital files may use images to create their own cards, announcements, etc.

PLEASE NOTE: ANY violation of Copyright will result in IMMEDIATE PURGING of all your files and you will be removed as a client of Abigayle Ray Photography. If you are a First Year or multiple session Client, any remaining sessions will be forfeited without compensation.

We ask that you please not upload any image that does not bear our watermark, and to always give credit to your photographer. For your protection and ours, all images posted on the internet must carry our watermark. If you are in need of a different crop of an image which would result in cropping of the watermark, please notify us and we will send you a new file. It is a violation of copyright to screen shot or scan your images and upload them to social media sites. Please also inform family members of these rules. These rules are NOT negotiable and will be enforced. If you are found to be in violation of this agreement, you will be sent a written notification and the appropriate actions will be taken.

WATERMARK ON IMAGES IN GALLERIES:

When you are viewing your photographs in your gallery you will notice that each image has a watermark on it.  This is done for many reasons, most importantly is so that the photographs can not be stolen and used by others.  Please rest assured that any Print that you order will have the watermark removed automatically and it will not appear on any Print.  Also, if you are receiving a DVD of your session the watermark will be removed from that as well.


REFUND POLICY


Due to the nature of digital photography Abigayle Ray Photography has a strict NO REFUNDS POLICY.  If a Client is dissatisfied with the work they receive, the Client must notify the Studio so that a re-shoot of the session (at no additional charge) can be scheduled at the Clients convenience and also the Studios schedule as we normally book weeks and months in advance.  Refunds will NOT  be given due to “not liking a photo” or “not getting the pose I wanted”, selecting an incorrect location/background, or any other reason.
